Please be aware of the existence of fraudulent websites imitating the EAN Annual Congress 2023 and fraudulent emails claiming to be on behalf of the EAN. The only official EAN congress websites are www.ean.org/congress2023 and www.eanvirtualcongress.org. Official congress correspondence will only be sent from email addresses ending in ‘@ean.org’.

2.General Information before you register

Upon payment of the registration fee, the participant will receive a confirmation that his or her registration is complete and effective by email. Payments via bank transfer after 07 June 2023 may not guarantee access to the live congress on 01 – 04 July 2023. Please be aware of this risk!
Do you want to benefit from EAN Individual Member’s registration fees? Take the first step and apply for your membership today – use the Membership Finder to find out your eligibility. 

Submit your complete membership application via your MyEAN user account and await approval of your membership, be aware that this may take up to 10 working/business days. Once approved you can start your congress registration and benefit from the differentiated Member’s registration fees. 

All prices include 27% Hungarian VAT.

7) For members of the Hungarian society only. Available at the beginning of 2023.

8) This price is valid for individual group members if you buy a group quota. If group members have a MyEAN account at time of registration, membership fees may apply.

3. How to register (Individuals & Groups)

Login into your MyEAN account OR create a new account in case you do not have one yet (www.ean.org/congress2023)

  1. Go to EAN EVENTS
  2. Click on Register Congress 2023
  3. Click on the register button and review and, if necessary, update your contact information
  4. Proceed with Individual Registration as registration type
  5. Choose your ticket (shows all available tickets based on your membership or role, choose the one with the lower ticket fee)
  6. Apply your discount code if available and accept terms and conditions as well as the cancellation terms to finish your registration
  7. Select your preferred payment method (Bank transfer, PayPal, or Credit Card) 
  8. Enter the desired billing address – you can either use your main contact information or use an alternative address (e.g., if your institution is funding your registration). If applicable provide your VAT number.
  9. You will have the opportunity to purchase insurance or book your accommodation through external links that are shown at the booking end. 
  10. You will receive your order confirmation soon after completion.
  11. The invoice will be sent out upon payment is confirmed.
     

Group members have NOT created a MyEAN account AT TIME OF REGISTRATION (group registration with quota) 

  1. Login into your MyEAN profile.
  2. Go to EAN events.
  3. Click on Congress 2023.
  4. Click on the register button and review and, if necessary, update your contact information.
  5. Select group registration if you want to register 5 or more persons enter a unique group name.
  6. Start the registration with "No, not all my group members have a MyEAN account" to buy a quota for the standard group fee which can be seen at the registration fees.
  7. Type in the needed amount of tickets
  8. Please select the preferred option for the Badge retrieval:
    Pre-print by Ean: For badge pre-print please get in contact with registration@ean.org to confirm your badge pick-up slot. Please Note, if you select group you are required to announce and assign your participants by 31 May 2023. Otherwise, access to the congress and venue cannot be permitted/ guaranteed.
    Onsite print: Each Participant will receive a separate email with QR code and instructions.
  9. Accept terms and conditions as well as the cancellation terms to finish your registration
  10. Select your preferred payment method (Bank transfer, PayPal, or Credit Card) 
  11. Enter the desired billing address – you can either use your main contact information or use an alternative address. If applicable provide your VAT number.
  12. You will have the opportunity to purchase insurance or book your accommodation through external links that are shown at the booking end. 
  13. You will receive your order confirmation soon after completion.

Allocating tickets and adding particpants after payment:

  1. Once you have paid your dues you will be able to allocate tickets to group members.
  2. Click on the tab My Registrations
  3. Select the group in question
  4. Before you enter your participants’ email addresses, make sure that your group members have created their MyEAN accounts and provided you with their contact email address.

If you wish to purchase additional tickets, you can do so by clicking Add Tickets in the upper right corner

Please note that an individual MyEAN account for each participant is required.

E-Mail addresses are necessary for the participants to:

  • receive information on their participation
  • access the interactive programme planner
  • evaluate the congress + receive their certificatesaccess the live webcasts + on-demand content 

Group members have ALREADY created a MyEAN account AT TIME OF REGISTRATION (group without quota)

  1. Login into your MyEAN profile OR create a new account in case you do not have one yet (www.ean.org/congress2023)
  2. Go to EAN EVENTS.
  3. Click on Congress 2023.
  4. Click on the register button and review and, if necessary, update your contact information
  5. Select group registration if you want to register 5 or more persons and enter a unique group name
  6. Start the registration with "Yes, all my group members have a MyEAN account" to make use of individual membership fees.
  7. Type in the desired number of tickets.
  8. Insert your delegates’ email addresses in the spaces provided - please make sure that these email addresses are linked to each particpants’ MyEAN profile.
  9. You will be provided with different registration fees depending on the individual membership statuses. Choose the appropriate ticket and click on select to confirm your choice of group member.
  10. If you have selected onsite tickets in the step prior, please indicate the preferred option for badge retrieval:
    Pre-print by Ean: For badge pre-print please get in contact with registration@ean.org to confirm your badge pick-up slot.
    Onsite print:Participant will receive a separate email with QR code and instructions.
  11. Accept terms and conditions as well as the cancellation terms to finish your registration.

Adding participants after payment:

  1. If you wish to purchase additional tickets, you can to so once you have paid your dues.
  2. Click on the tab My Registrations.
  3. Select the group for which you want to purchase additional tickets.
  4. Click on the button Add Tickets in the upper right corner and start the registration process for additional tickets.

4. Important Information

  • If you like to know the status of your registration and participation, please log in to your MyEAN Account, go to “EAN EVENTS” , click “My registration”: and select your registration record for Congress Budapest 2023
  • There you can see detailed information of your registration and participation (badge retrieval, Visa Letter, additional sessions):
    If blank: You have a virtual interactive participation
    Pre-Printed by EAN: You will receive your badge from the group leader
    Onsite Print: You will receive a separate email containing a QR code for printing your badge at the venue
  1. Only for Group registration:
    For badge pre-print please get in contact with registration@ean.org to confirm your badge pick-up slot for/of the day prior to congress.For group registrations with quota: Note, if you select group you are required to announce and assign your participants by 31 May 2023. Otherwise, access to the congress and venue cannot be permitted/ guaranteed.
  2. For all registraions:
    Onsite: Participant will receive a separate email with QR code and instructions. 
  • Either print this document or download it to your smart device.
  • At the congress, please proceed to the badge printing stations.
  • Scan the QR-Code and wait for your name badge will be printed out.

Please be aware that in case of losing your badge the registration fee is charged again.

  • If you want to purchase an additional session, please login into your MyEAN account go to your registration record and click on the button upgrade (only available for onsite tickets). For a detailed step by step instruction, please find the manual here
  • During the registration you will be asked to enter the billing address. In case the address deviates from the contact information please select alternative billing address and insert the information of the third party. 

Aiming to support families and parents attending the 9th EAN Congress in Budapest, EAN has implemented a childcare service.

The Junior Suite Service is available for children between 1 and 12 years of age.

To sign your child(ren) up for the Junior Suite Service, select this service under Additional Sessions “Junior Suite - 1st Child (2nd Child/3rd Child) during your congress registration. Next, please read the EAN Junior Suite Service Facts carefully and fill in the application form. Please note that applications are only valid if the registration is paid and the form is submitted. You will receive a confirmation with full details via email.

If you have already registered for our congress and wish to sign up your child(ren) for the Junior Suite Service, log in to your MyEAN account, click on Events and My Registrations and Upgrade. There, you will see all sessions we offer, scroll down until you see “Junior Suite - 1st Child (2nd Child/3rd Child)”

Please send your application form before June 15, 2023 to registration(at)ean.org. Vacant slots after this deadline will be provided upon availability and on a first come-first-serve basis. Please be aware that in case of cancellation after June 15, 2023, your payment for this service will not be refunded.

EAN is monitoring the health situation and official regulations regarding Corona hygiene measurements in Hungary very carefully.
We expect to have a clearer sight on those regulations onsite in end of May/Beginning of June.

5. Payment options

Cancellation Policy

  • Provided you are a consumer, you have the right to withdraw from an order within 14 days without giving any reason by law. EAN will refund the full registration fee.
  • No refund will be granted if the registration is cancelled after the withdraw period of 14 days, not even if due to visa rejection, illness, etc. Any cancellation shall be made in an email to registration(at)ean.org
  • For any change of names, a processing fee of € 50 will be charged.

7. General Terms & Conditions for Registration

Summary of the most important points General Terms and Conditions for Registration for the 9th Congress of the European Academy of Neurology 2023:

  • Terms and Conditions for Registration must be accepted if you want to register for the Congress.
  • EAN Congress 2023 is planned to be held onsite in Budapest/Hungary (subject to current and legal possibility) and virtually in parallel.
  • If the onsite congress cannot take place for reasons that are not in the sphere of influence of the EAN, the congress will take place virtually only.
  • Virtual interactive Registration Fee is not refundable.
  • Onsite Registrations will be transferred automatically into Virtual interactive Registrations if no Onsite Congress is taking place.
  • The Difference between Onsite and Virtual interactive Registration fee will be refunded within 4 weeks after the Congress had been held.
  • EAN has the right to restrict Onsite Access to vaccinated, unvaccinated, recovered or/and tested participants. Please observe the current access restrictions.
  • If access to the Onsite Congress is limited to a certain number of persons, only the number of persons permitted shall be granted access to the Congress centre on a first come first serve basis.
  • All Registrations are not transferable.
